Using Trello for Event Planning: PP125

Confession.

When I was a full-time pastor, I didn’t like doing events.

But I loved events. I knew they were helpful. I had to figure out a solution and system.

Enter Trello (surprise).

I used to dread events due to poor planning and last-minute stress. Events often left me exhausted, unable to fulfill my primary role.

  • By focusing on systems thinking, we cracked the code on how to effectively manage events.

  1. Systems Thinking:

    • I’m all about systems now after reading Seth Godin’s new book, This Is Strategy. Systems are crucial for any size church and help you focus on creating outcomes.

    • The core takeaway? 80% of any good event involves the same tasks – master these with systems!

  2. Event Management Resource:

    • We built an effective event management sheet that covers 80% of the recurring tasks required for any event.

    • Critical elements include naming the event, identifying its mission connection, specifying the target audience, and estimating audience size.

  3. Bringing the System into Trello:

    • Trello transforms your event planning with visual, interactive boards. Share details easily with your team, track timelines, and never worry about misplaced paperwork.

    • I walk through setting up Trello boards, explaining two main setups—one for task management and another for scheduling and timelines.

  4. Event Template Breakdown:

    • I share a step-by-step event template from six weeks out to the day of the event, including task assignments, communication strategies, and more.

    • It’s about moving ministry event planning from paper to a collaborative digital space.

  5. Experimenting with Video:

    • I’ve been experimenting with video episodes, and while it’s been an insightful journey, this might be the last video format for a while as I re-evaluate the balance between video and audio content.
