PP55 : Building Scaleable Systems in Trello

“Hey Chad, how would you…?”

99% of the time my answer is Trello. At least if it involves any piece of moving information.

In today’s episode, I am sharing 4 scaleable systems for ministry using Trello.com

One of my key ideas for productivity is the idea of a working system and a keeping system. You have to have a way to store information and you have to have plan in place for HOW you will work and do things on a daily basis.

Trello is pretty much my ride-or-day working system. I have used it for everything.

What I want to show you is 4 working cases for using Trello.

Visitor Assimilation

Once you’ve sat down and planned out your assimilation strategy, Trello is a great way to both store the data and keep up with how your church is engaging new people. You can build in checklists for your system AND drop in the necessary information. Every time someone engages a step deeper, simply move their card to the proper list column.

Discipleship and Leadership Pathways

Much like visitor assimilation, you can use Trello to organize visually where folks are as part of a pathway strategy.

Congregational Care

Span of care is one of those secret conversations that come up in coaching. Some pastors feel really embarrassed that they can’t juggle dozens of folks with important needs easily. As churches grow, or just depending on their size, congregational care becomes a great way to understand how ministry scales. The moment anyone else is involved, even if it is just a secretary, you need to have a system in place to organize and manage folks who are in a season of more frequent contact. Personal Dashboard

Remember the whole working/keeping system? One of the best ways to utilize this is with Trello being your personal, weekly dashboard. It isn’t a calendar, but a great place to keep track of EVERYTHING as part of your weekly plan. It let’s you be adaptive in your time and focuses, while also keeping up with projects that might run for weeks or even months. (this picture is of the template from Becoming Productive).
